Personal information comprises all information that can be used to identify individuals (users) gained through visits to DSForum and usage of a number of DSForum web sites on the World Wide Web. Specifically, this information includes name, gender, age, address, e-mail address, service access and other data records, and identification numbers and/or symbols issued by DSForum to individuals. Also included is information that, through comparisons with other data, can be used to identify individuals. The Secretariat has adopted diverse measures to ensure the security of this personal information, as follows.
Purpose of Collecting and Usage of Information
DSForum gathers personal information from users with the purpose of enhancing and improving services of DSForum Online and DSForum Pre-registration web sites (hereinafter referred to as these DSForum web sites, or these web sites), registering visitors prior to and during the staging of the exhibition, and accepting reservations to attend the DSForum Conference, International Symposium, and other special programs. DSForum also collects personal information for use in user surveys and requests for the sending of reference materials.
Providing Information to Third Parties
No personal information collected through these DSForum web sites will be provided to unrelated third parties. However, this information may be provided to partner organizations that have established their own information protection systems and signed a contract of confidentiality with the Organizing Committee of DSForum. Such parties may use this information in the pursuit of the aforementioned activities on a proxy basis. In addition, user data from these DSForum web sites and the DSForum exhibition site is sometimes provided to third parties in a format that prevents individual identification. Such information is not considered personal in nature. Visitors to DSForum are issued passes with personalized barcodes. These barcodes are scanned on entering the exhibition and Conference programs, and at the booths of exhibiting companies and organizations (exhibitors). From this point, information that might be considered personal in nature is shared between DSForum and exhibitors. Visitors are requested to understand that information from exhibitors might be sent directly to them via e-mail or post after DSForum concludes. Information-gathering activities are also used to provide registered visitors to DSForum with information on promotions, and the products and services of companies related to DSForum. DSForum uses personal information only for the aforementioned purposes.
Cookies and IP Addresses
When accessing these DSForum web sites, “cookies” (data codes) are sent to users' PCs from the Management Office server. Data including records of previous accesses to these sites by the user is subsequently sent back to the server at each access. On these web sites, cookie information is sometimes used to provide customized services to users and to tally total accesses to these web sites. IP addresses, which are numerical in format and assigned to Internet users' PCs for identification purposes, are also automatically sent from users' PCs to these web sites. The Internet cannot be accessed without an IP address. Individual IP addresses are collected to collate data on usage of these web sites and monitor trends in site usage. These addresses are not used in any way that might lead to the identification of individual users, excluding cases in which the legal rights of the Secretariat are infringed upon or interfered with by a user(s), or the potential of such infringement or interference is suspected.
Rights of Users
Users may request DSForum to cease the transmission of their personal information to these web sites and the provision of related services. Users can change or add to their registered personal information, or cancel their membership at anytime. Regarding personal information managed by the Secretariat, users may at any time request that the disclosure, revision, deletion, or distribution of exhibition and Conference information be ceased, and/or that their personal information be deleted from the Secretariat database. Users who wish to change or add to their registered personal information, or cancel their registration, should follow the instructions on the web site or contact the designated e-mail address or web site.
